Close a workspace
The workspace’s owner can close it at any time. Nothing disappears the moment you click: a paid workspace keeps working until the end of the period you paid for, then it’s read-only for 30 days, and only then is everything in it deleted. Until the deletion starts, the owner can reopen it.
Closing a workspace is about the workspace, not the people in it. Everyone keeps their Freesbe account and their other workspaces.
Before you start
Section titled “Before you start”- Export what you want to keep. Owners and admins can export the workspace, before closing or while it’s read-only.
- Only the owner can close it. If that should be someone else, the owner can hand the workspace over first.
Close the workspace
Section titled “Close the workspace”- Open Workspace settings → General → Workspace and scroll to Close workspace. It lists add-ons that end with the plan and whether a phone system is turned off.
- Type the workspace’s name to confirm, and tell us why, if you like.
- Click Close workspace and confirm. Freesbe asks you to verify it’s you first.
The owner and admins get an email with the dates, and the owner gets one more a week before the deletion.
What happens, and when
Section titled “What happens, and when”| When | What happens |
|---|---|
| Right away | The plan won’t renew. Everyone sees a banner with the date. On Free, the workspace goes read-only now. |
| Until the paid period ends | Everything works as usual. Nothing is refunded for the rest of the period. |
| When the period ends (or right away, Free) | The workspace is read-only: everyone can read, search and download, admins can export, and nobody can post, call, upload or change settings. The phone is turned off. |
| 30 days later | Everything in the workspace is deleted, and its phone numbers are released. |
While it’s read-only, webhooks, apps and integrations can’t post to it either. An incoming
webhook answers workspace_closed.
Reopen it
Section titled “Reopen it”The owner can reopen the workspace in Workspace settings → General → Workspace → Close workspace any time before the deletion starts:
- Still in its paid period: click Reopen workspace, and the plan renews as before.
- Read-only: click Reopen workspace. It’s back on Free, with everything in it. Choose a plan on the Billing page to get paid features back.
Renewing the plan in the billing portal before the period ends keeps it open too.
What we delete and what we keep
Section titled “What we delete and what we keep”After the 30 days:
| Data | What happens |
|---|---|
| Channels, messages, threads, reactions, files and canvases | Deleted |
| Meetings, recordings, transcripts, huddles and call history | Deleted |
| Integrations, webhooks, apps, workflows, custom domain and settings | Deleted |
| Exports of the workspace | Deleted |
| Phone numbers | Released |
| People’s Freesbe accounts and their other workspaces | Stay |
| People imported from Slack who never signed in | Their name and address are deleted |
| Invoices, and a record that the workspace was closed, by whom and when | Kept 7 years, as tax law asks. No messages or files. |
Backups roll off within 30 more days, so the workspace is gone from everywhere within 60 days of the deletion. See the privacy policy for how long we keep data.
Your own account
Section titled “Your own account”To delete your Freesbe account as well, see Delete your account. A workspace you’re closing doesn’t stop you.
